到國外出差之前,一般而言都以傳真和外國的當事者取得晤面的約定,很少用電話聯絡。但是在國內,或是自己在國外需要緊急晤面的時候,利用電話則較爲方便。在本篇中所要介紹的是要求晤面的人:

(1)正確介紹自己的姓名,與正確獲知對方姓名。

(2)要詢問希望與誰晤面,並且把意思正確地傳達給對方。

(3)要傳達或詢問約定的時間與場所。

如果能正確地溝通並掌握上述三點原則,那麼你的商務英文電話就可以說是及格了。

(1)經由祕書安排約定

I’d like to make an appoingtment with er. (我想要和Hammer先生約個見面時間)

原則上約定見面商談時,應事先用傳真或信函同志對方較爲妥當。如果在事先未能以書面告知時,最好說清楚見面時想說的內容,如 to diascuss the contract [洽談合同事宜]。

(2)經由祕書安排約定

Could I see er sometime this week? (我們能不能在這個星期跟Hammer先生見個面?

sometime this week 是[這個星期隨便什麼時候]之意。最好配合自己的日程表說清楚有空閒的時間,如 Either on Wednesday or Thursday.(星期三或星期四都可以)。

(3)經由祕書安排約定

Would it be possible to see er tomorrow? (明天能不能跟 Hammer先生見個面?) 左句含有 Does er have time to meet with me tomorrow? (Hammer先生明天有時間跟我見面嗎?),或 If he does have time,may I meet him tomorrow? (如果他有空,我明天能跟他見面嗎?)之意。

(4)經由祕書安排約定

What time is convenient for him? (他什麼時候有空呢?) 也可以說 What time is he available?(他什麼時候有空?),但用 convenient 會給人比較客氣的感覺。如果無法照對方的要求時間見面時,就說I’m available at three o’clock.(我三點有空)來試探一下也無妨。

(5)經由祕書安排約定

I’d like to have lunch with him tomorrow. (我想明天和他吃午飯)

在歐美,商業界常舉行 a lunch meeting [商業午餐]。在這種聚餐中,不但容易相互溝通,也可以藉此加深彼此交情,因而用餐的時間長達三小時的情形也屢見不鮮。

(6)直接求見本人

If you have time, I’d like to meet with you today. (如果您有時間,我想今天跟您見個面)

雖然已約好時間,可是有急事想提早見面時,就可以用這句。如果沒有空閒時間就說 I’m sorry,but I’m really tied up today.(很抱歉,我今天真的沒空)。

(7)直接求見本人

Could you spare me about half an hour? (能不能給我半個小時的時間?)

這句話是對熟人說的話。spare是[騰出(時間),分讓(東西)之意。有時間的話說 Sure.,OK.等;如果沒空的話說 I’m afraid I can’t.(恐怕不行)就可以了。

(8)直接求見本人

Could we get together at aurant? (我們能不能在洛城餐廳會面?)

get together是[聚會、會面]之意的較爲隨便的說法。說明聚會地點,如某某餐廳等時,最好指出大家共同認識(shared knowledge)的目標比較好。

(9)直接求見本人

I was wondering if we could arrange a meeting to discuss the new product. (我想,我們是不是可以安排一次會面來討論新產品)

這句是經由第三者介紹而尚未謀面的人在約定晤面時使用。I was wondering if...的說法含有不太拘束形式的溫和語氣。還可以用Would it be possible to meet and discuss the new product?.

(10)直接求見本人

I’m calling about what we discussed the other day. (我打電話是爲了前幾天我們所討論的事)

這句是已見過面想再繼續時的說詞。接到電話的人可以答稱 I’ve been waiting for your call.(我一直在等您的電話裏),並接着說Let’s get together. When can we meet to talk?(我們來聚一聚。什麼時候可以見面?)

(11)詢問目的

What would you like to talk to me about? (你要跟我談些什麼事?)

也可以用 Can l ask you what you want to discuss?.要見面之前,事先了解討論的內容、前後關係、背景(context)等有助於預作交涉前的準備工作。

(12)表示同意

Sure. (好啊!)

簡短地表達肯定的方式有 Certainly. (當然可以),Of course.(當然)等,意思都差不多。在談話中如果常用這種簡短詞句會給人幼稚的感覺。應該用一些不同說法才能給人較佳印象。

(13)表示拒絕

I don’t think we have to meet on this subject. (關於這個問題,我不認爲我們有見面的必要)

對於不認識的人或推銷人員的求見電話,認爲無需見面時,可以用這句話,或明確地用It’s probably not necessary to meet.(沒有必要見面)來加以謝絕。

(14)與代理人會面

I’m afraid I can’t, but n will meet you instead. (我不能會面,但n會替我跟你見面)

句首用 I’m afraid I can’t...會給人非常客氣的印象。若不小心而唐突地說出I’m too busy to meet you.,說不定會給對方帶來受輕視的感覺。

(15)想要決定的時間與場所

May I arrange the time and the place, please? (能不能讓我安排時間與場所?)

也可以 Do you mind if I set the time and location for our meeting? (我來定見面的時間和地點可以嗎?)。開會的時間和地點常常影響商談的成果,因而配合對方時間的同時,要把握主導權。

(16)詢問適當的時間

When do you have free time? (您什麼時候有空?)

這是自己有時間可以配合對方來約定見面時間的問法。也可以用 When are you available? 談商務時,free time 指的是除去假日及下班後的時間。

(17)告知適當時間

I’m free at three o’clock today. (我今天下午3點有空)

此句是(3點以前不方便,但3點以後纔有空)的意思。也可以用 I’m available at three o’clock.如果是[3點到4點有空]的話,就用availbale from three o ’clock until four 即可。

(18)提議約定日期與時間

Can I see you Thursday at nine? (我能不能在星期四,9點跟您見面?)

如果對方沒有時間時,就用 How about...? 的句型來調整適當的見面時間。用I’ll be free anytime from 10: 3: Wednesday.(星期三的上午10點到下午3點我都有空)的話,可以讓對方選擇方便的時間。

  電話英語留言

中國家庭並不常用電話答錄機(Answering Machine),但在北美家庭,幾乎家家都用。外來電話撥入時,若該電話號碼的主人不在,就會讓撥入者聽到一段留言,這叫Answer。絕大多數的Answer都是千篇一律的:說明主人不在,請撥入者留下簡短信息及姓名電話號碼等。以下幾則特別的 Answer 體現了美國佬的幽默,你能體會出其幽默所在嗎? 同時,本人希望讀者能舉一反三,從美國家庭電話留言中學到一些有用的東西,從而可以應用到商務電話留言當中來:

1) My wife and I can’t come to the phone right now, but if you’ll leave your name and number, we’ll get back to you as soon as we’re finished.

2) Hi. This is John. If you are the phone company, I already sent the money. If you are my parents, please send money. If you are my financial aid institution, you didn’t lend me enough money. If you are my friends, you owe me money. If you are a female, don’t worry, I have plenty of money.

3) Hi, I’m not home right now but my answering machine is, so you can talk to it instead. Wait for the beep(beep:主人的Answer講完以後,Answer Machine會發出一聲beep, 這時候來電話者就可以開始留言了。).

4) Hi! John’s answering machine is broken. This is his refrigerator. Please speak very slowly, and I’ll stick your message to myself with one of these magnets(磁鐵).

注:通常情況下,來電話者面對錄音講話都不太自然,所以語言往往很急促,三句兩句話就完了。這可苦壞了接聽留言的主人,聽多少遍都聽不清留言者到底是誰,講了些什麼。對於母語非英文的人,這種感覺會更深。所以,以下這兩段幽默乾脆就首先告訴電話撥入者,我的Answer Machine不好使,你且慢慢來。

5) Hello, this is Sally’s microwave. Her answering machine just eloped(私奔) with her tape deck(磁帶驅動器), so I’m stuck with taking her calls. Say, if you want anything cooked while you leave your message, just hold it up to the phone.

6) Hello, you are talking to a machine. I am capable of receiving messages. My owners do not needsiding(牆板,壁板), windows, or a hot tub(浴盆), and their carpets are clean. They give to charity(慈善團體) through their office and do not need their picture taken. If you’re still with me, leave your name and number and they will get back to you.
